A Day in the Life of an HSE Project Manager: Tuesday

26 October 2023 🇷🇺 Original: русский 1 min read

TUESDAY is dedicated to communications – how to convey information to all levels of employees.

To understand the true importance of communications, it is worth recalling the beehive effect. What characterizes a beehive? What is the first thing that comes to mind? Buzzing! Even now, you can hear it. All the bees are buzzing toward a common goal – pollinating crops. They buzz because it is the most important thing for them. Even the drones, who don't participate in the process, buzz. Why? You can't not buzz; otherwise, you stand out immediately, like the odd one out. It's the same with safety 😊

In addition to increasing engagement through information cascading, we simultaneously achieve the following goals:

  • Monitoring the implementation of activities and achievement of goals at all management levels
  • Reviewing key risks and proposed measures
  • Reviewing problem areas and obstacles during the project
  • Reviewing best practices and their replication

Key meeting principles – do not mix project meetings with other types of meetings.

"Golden" rules:

  • The meeting owner makes decisions.
  • Issues that cannot or should not be resolved at one's own level are brought to the agenda of a higher-level meeting.
  • Practices assessed as "best" are mandatory for replication.
  • Decisions made at higher levels are cascaded down in the usual manner or included in the agendas of subsequent meetings.
  • Positive motivation is a standard part of meetings.

But every cascading meeting can (and should!) be used as a checkpoint in project management, where we look at the quality of the product.
