Digitalization of Audits: From Self-Assessment to Status Control

The transition from manual management to digital systems is a natural stage of development for large manufacturing companies. When dealing with thousands of employees and multiple branches, traditional methods of data collection via Excel spreadsheets and email are no longer effective. The presentation details the experience of the Baltika brewing company, where the implementation of a unified platform allowed automating the audit process for compliance with internal safety rules.

From Routine to Transparency: How the System Works

The speaker breaks down the transition process from annual self-assessment in Excel to a dynamic digital system. Previously, collecting data from eight plants took a lot of time, and verifying the results was difficult. The implemented system allows:

  • Seeing the current status in real time. The system displays the initial result, the current situation taking into account completed measures, and a forecast assessment. This is important for understanding the real picture at each plant without the need for manual data collection.
  • Automatically recalculating scores. Each non-compliance is evaluated on a point scale (from 0 to 3). When corrective actions are completed, the system automatically updates the overall score of the branch. This eliminates the human factor and makes the process transparent.
  • Controlling the execution of measures. Tasks are assigned to specific responsible persons. As soon as a task is closed in the system, the plant's status is updated. This allows for a prompt response to changes without waiting until the end of the year to summarize the results.

Analytics for Decision Making

An important element of digitalization is the analytics block. Using a heat map as an example, the speaker shows how the system visualizes the status of each branch across all 10 safety rules. This allows:

  • Identifying problem areas. Management can quickly determine which rules a specific plant is lagging in and direct additional resources there.
  • Finding best practices. Analytics show the leaders in each area. This provides an opportunity to study their experience and scale successful solutions to other branches.

Overcoming Implementation Challenges

Implementing a large-scale system is not without its difficulties. One of the main problems was the need to unify processes across all eight plants. Legislative acts often do not easily translate into flowcharts (BPM), so serious analytical work was required to align requirements and create a unified system architecture.
