Employee Personal Account as an Effective Communication Tool

In light of the continuous development of digitalization and communication systems, an employee personal account can serve as one of the communication options between employer and employee.

Why is it needed?

First and foremost, an employee personal account provides easy access to information about planned and completed salary payments and vacation schedules. An equally important role is played by the employee's ability to promptly submit necessary applications to the employer (for leave, financial aid, etc.), as well as order required certificates. The advantage of a personal account in this regard is that the employee does not need to make numerous redundant inquiries: Who should I send it to? How do I format it? What are the deadlines? In these matters, reducing unnecessary and distracting communications works in the employee's favor and saves their time. The employer, in turn, is relieved of the extra burden of tracking vacation schedule overlaps and ensuring compliance with application deadlines. The smart personal account system itself understands how many days before a vacation an application must be submitted and will not allow it to be done earlier, while notifications help the employee not to miss the required day.

Given the possibility of integrating the personal account with almost all of the employer's software for automatic data exchange, many IT services can be included in this system to ensure employee awareness and engagement in internal company processes, including HSE and industrial safety.

For example, one interesting HSE solution at JSC Apatit is the integration of the employee personal account with an information system that tracks the need for personal protective equipment (PPE).

Employees can independently and at their convenience view information through their personal account about the required set of PPE and replacement deadlines. Through instant (PUSH) notifications, the application itself will prompt the need for timely PPE collection.

Another interesting example for implementation is the ability for employees to promptly submit "Safety Ideas" or identified violations through their personal account. A supervisor processes the incoming requests and forwards them to the individuals responsible for the work. In this case, working through the personal account significantly reduces the time from the discovery of a violation to its rectification.

Finally, a pleasant addition to the employee personal account is access to corporate publications and company news events.
