From a Reactive Approach to a Proactive Safety Culture

The development of a safety culture in modern manufacturing enterprises is inextricably linked to the transition from reactive incident response to proactive risk management. In this webinar, experts from Coca-Cola HBC Russia and Paulig share their practical experience in building an incident communication system that allows not only for prompt response to accidents but also for their prevention across all production sites.

Natalia Kovaleva, Country Health and Safety Manager at Coca-Cola HBC Russia, and Yulia Babenko, Quality Director at Paulig, analyze in detail the employee engagement tools, risk visualization methods, and prompt notification systems that have proven their effectiveness in practice.

Tools for Proactive Communication and Employee Engagement

Using Coca-Cola HBC Russia as an example, the speaker demonstrates how a systematic approach to informing employees helps reduce injury rates. The key element is regular and targeted communication covering all levels of the organization.

  • Monthly thematic articles and Safety Days: Planning topics for the year ahead, taking into account seasonality and past statistics, allows focusing on the most relevant risks. Regular meetings (Safety Days) with production and logistics personnel create an open platform for discussing incidents, sharing experiences, and developing preventive measures.
  • Behavioral Based Safety (BBS) project: Peer-to-peer observation helps identify barriers to safe behavior. Anonymous analysis of the causes of unsafe actions allows addressing systemic issues rather than punishing specific employees.
  • Visualization and emotional engagement: Using digital panels, corporate TV, and unconventional formats, such as photo projects featuring employees' children, creates a strong emotional incentive to comply with safety rules.

Prompt Notification and Lessons Learned (Safety Alerts)

The presentation details the process of working with Safety Alerts — incident warnings used in both Coca-Cola and Paulig. This tool is critical for preventing the recurrence of mistakes at other sites.

  • Standardized format (One-pager): A brief and clear description of the incident (what happened, causes using the "5 Whys" method or Ishikawa diagram, corrective actions) allows quickly conveying the essence of the problem to all stakeholders.
  • The 24-hour rule: Paulig has implemented a system for reporting accidents within 24 hours. This allows for a prompt reassessment of risks at other sites and the implementation of necessary measures before a similar incident occurs again.
  • Process digitalization: Using mobile applications (e.g., the Insta-audit system) simplifies the submission of risk observations by any employee, ensuring data collection in a unified system for subsequent trend analysis.

Integrating Safety into Business Processes and Leadership

Yulia Babenko emphasizes that a safety culture should not be limited to production personnel. At Paulig, safety is integrated into all key business processes, and the number of accidents is included in the KPIs of every employee, from the CEO to the packer.

Developing leadership competencies and management's commitment to the Safety First principles are the foundation for building an effective system. Leadership is manifested not in formal control, but in personal example and the willingness to openly discuss problems and mistakes.
